These terms explain the rules for using Exolved Bot, the responsibilities of server administrators, how Premium subscriptions work, and what you can expect from the service.
TL;DR Terms Summary
Use the bot lawfully, configure it carefully, respect member privacy, and keep human oversight over moderation and staff decisions. The service depends on Discord and other platforms, so uninterrupted or error-free operation cannot be guaranteed.
Admins stay responsibleThe bot assists with community operations but does not replace administrator judgment.
Automations need testingPermissions, role hierarchy, deleted resources, and third-party outages can affect actions.
Premium is server-scopedDiscord handles recurring billing; plan limits and benefits apply to the subscribed guild.
Your content remains yoursYou give us only the limited permission needed to process and publish requested content.
1. Acceptance and Scope
Exolved Bot is operated by Tobias Rothe ("Exolved Bot," "we," "us," or "our"). These Terms of Service govern the Exolved Bot Discord application, website dashboard, integrations, Premium offering, and supporting services.
By inviting, configuring, purchasing, accessing, or using the service, you agree to these terms and our Privacy Policy. If you use the service for a Discord server, community, organization, or other entity, you confirm that you are authorized to accept these terms and act on its behalf.
If you do not agree, do not use the service. A server administrator accepting these terms does not remove any rights that individual server members have under applicable law.
What this means for you
Using the bot or dashboard means accepting these rules. Administrators must also have permission to act for the server they configure.
2. The Service
Exolved Bot provides configurable tools for Discord communities. Depending on availability and configuration, these may include:
Welcome messages, onboarding, autoroles, Reaction Roles, applications, and support tickets.
Moderation reports, Media-Only rules, server rules, staff workflows, and Setup Alerts.
Dynamic private voice channels, Voice XP, activity awards, Chat Streaks, birthdays, and Prompt of the Day.
Questboard, Member Passport, Server Weather, LFG tools, and community activity summaries.
Twitch creator links, live roles, WhoIsLive panels, stream notifications, schedules, chat tools, and YouTube integrations.
Steam game subscriptions, news, update and discount alerts, free-game alerts, and related game tools.
Free and Premium plans with different configuration limits and feature availability.
Not every feature is available in every server or plan. Features can depend on Discord permissions and intents, role hierarchy, server configuration, linked accounts, third-party APIs, and the bot being installed and online.
What this means for you
The dashboard shows tools the bot supports, but a feature works only when its required settings, permissions, and external services are available.
3. Eligibility, Accounts, and Access
You must be at least 13 and meet any higher minimum age required to use Discord where you live.
If you purchase a subscription while under the legal age of majority, you must have any parent or guardian permission required by Discord or applicable law.
You must authenticate through Discord OAuth to access protected dashboard features. Some integrations also require authorization with Twitch or Google.
You are responsible for activity performed through your Discord account, active dashboard session, and voluntarily linked third-party accounts.
You must not share passwords, session cookies, OAuth tokens, bot tokens, or other authentication material.
You must promptly revoke access and contact support if you believe an account, token, or session has been compromised.
Server owners and administrators control Discord permissions that may grant access to administrative features. We may independently restrict access where reasonably needed for security, abuse prevention, platform compliance, or legal requirements.
4. Server Administrator Responsibilities
If you invite or configure Exolved Bot for a server, you are responsible for:
Having authority to invite the bot and configure the relevant server, channels, roles, and integrations.
Granting only the Discord permissions needed for the features you enable and maintaining a safe bot-role position in the role hierarchy.
Testing automations before relying on them, reviewing Setup Alerts, and correcting deleted or stale Discord resource IDs.
Providing notices and obtaining permissions or consent required by your server rules or applicable law for analytics, presence-based features, applications, tickets, and moderation evidence.
Restricting access to reports, applications, tickets, Passport inspection, and other staff-facing information to appropriate people.
Maintaining independent copies of records your community is legally or operationally required to preserve.
Administrators remain responsible for moderation, recruitment, staffing, access, and community-management decisions. Setup Alerts, analytics, recommendations, matches, and warnings are assistance tools, not approval of a configuration or a substitute for human judgment.
5. Automated Features
When enabled by an authorized administrator or requested by a user, the service may automatically:
Post, edit, archive, or delete messages and publish embeds, panels, reactions, reminders, or notifications.
Assign or remove roles, including Reaction Roles, autoroles, live roles, and activity rewards.
Create, rename, move, limit, lock, or delete temporary voice and ticket channels.
Inspect configured Media-Only channels and remove messages that do not satisfy the server's selected rule.
Track eligible message, voice, quest, streak, creator, and community progress.
Send configured Discord or Twitch actions when external services report an event.
Discord rate limits, missing permissions, role hierarchy, deleted resources, duplicate third-party events, network errors, restarts, and configuration mistakes can delay, prevent, duplicate, or partially complete an action. We use validation, deduplication, queues, and retries where practical, but cannot guarantee exactly-once delivery.
What this means for you
Automations can affect real channels, messages, and roles. Administrators should test them with limited access before using them broadly.
6. Free and Premium Plans
Server-Scoped Access
Premium is a guild-scoped Discord application subscription. Benefits apply to the Discord server associated with the active entitlement, not automatically to every server owned or managed by the purchaser. The dashboard displays the selected server's current plan, source, usage, and applicable limits.
Plans and Limits
The Free plan includes core functionality with limits on selected configurable resources. Premium may expand limits for master voice channels, Reaction Role embeds and reactions, administrator-added Twitch creator links, POTD rotations, ticket categories and questions, and other features identified in the purchase screen or dashboard.
Generated private voice rooms remain governed by their configured lifecycle rather than being individually billed. Premium does not promise dedicated infrastructure, guaranteed uptime, or priority support unless a purchase description expressly says so.
Discord Billing and Renewal
Discord processes the purchase, payment method, taxes, renewal, cancellation, and eligible refund requests. We do not receive full payment-card or bank details.
The price, billing interval, taxes, and included benefits shown in Discord's purchase flow control the purchase. Subscriptions renew automatically until canceled, subject to Discord's Paid Services Terms.
You may cancel through Discord's subscription settings. Access normally continues until the end of the current paid billing period, as described in Discord's Premium App cancellation guide.
Refund eligibility is determined by Discord's Refund Policy and applicable law. Discord may impose a short request window for Premium App Subscription refunds.
Downgrades and Expiration
When Premium expires, is canceled, is refunded, or can no longer be verified, the server returns to the limits of its available plan. Configuration is not automatically deleted solely because it exceeds a lower plan limit. Instead, excess configurable resources may be marked paused according to their saved order until an administrator removes, reorders, or reduces them.
Existing generated voice channels and open tickets may continue through their normal lifecycle, while paused master channels stop generating new rooms and paused ticket categories stop accepting new tickets. Paused Reaction Roles, creator links, prompts, and similar resources stop participating in the corresponding automation. Restoring Premium should reactivate eligible paused resources automatically where the saved configuration remains valid.
Legacy, Manual, and Test Access
Legacy Premium and manual grants are internal, server-scoped access grants and are not Discord purchases, cash equivalents, or transferable entitlements. Test entitlements are for validation and may be limited, reset, or removed. Internal grants may be corrected or revoked if issued in error, abused, required by law, or necessary to protect the service.
Benefit or Price Changes
We may add, remove, or modify plan benefits and limits. If an active paid offering changes materially, we will provide reasonable notice and an opportunity to cancel or modify the subscription before the change takes effect where required by Discord policy or applicable law. Discord may separately notify you of price or billing changes.
What this means for you
Premium belongs to one server. Canceling does not immediately erase configuration, but resources above Free limits can pause when paid access ends.
7. User Content and Intellectual Property
Your Content
You retain ownership of content you submit or configure, including application answers, ticket responses, reports, quest text, prompts, role names, templates, embeds, schedules, links, and integration settings.
You grant us a limited, worldwide, non-exclusive license to host, process, reproduce, format, and transmit that content only as reasonably necessary to provide, secure, maintain, troubleshoot, and improve the features you request. This license ends when the content is deleted from active service systems, except where a lawful retention need or backup copy remains.
You confirm that you have the rights and permissions needed to submit the content and instruct the bot to process or publish it. You are responsible for ensuring custom content is lawful, accurate enough for its intended use, and appropriate for the target server.
Our Service
Exolved Bot's software, source code, designs, branding, documentation, and original service content are owned by or licensed to the operator and are protected by applicable intellectual-property laws. These terms give you permission to use the hosted service; they do not transfer ownership of the service or its source code.
You may not copy, sell, redistribute, or reverse engineer protected parts of the service except where applicable law expressly permits it.
8. Acceptable Use
You must not use or attempt to use the service to:
Harass, threaten, discriminate against, stalk, exploit, or expose private information about another person.
Send spam, manipulate engagement, coordinate platform abuse, or run unauthorized automation.
Collect passwords or authentication credentials, distribute malware, impersonate others, or facilitate fraud or illegal activity.
Access records, servers, channels, accounts, or administrative tools without authorization.
Disrupt service availability, probe for vulnerabilities without permission, overwhelm APIs, bypass rate limits, or interfere with security controls.
Forge, transfer, manipulate, or bypass Premium entitlements, plan limits, or purchase checks.
Use applications, tickets, reports, analytics, Passport, Server Weather, LFG, role automation, or creator tools to unfairly profile or target members.
Use service data to make decisions about employment, housing, insurance, credit, healthcare, or similarly significant eligibility matters.
Violate the rules or policies of Discord, Twitch, Google, YouTube, Steam, or another connected platform.
We may investigate suspected misuse and limit features, block requests, remove integrations, or suspend access when reasonably necessary.
9. Moderation, Safety, and Community Insights
Message reports may preserve encrypted message context, reasons, notes, and attachment links for staff review under the server's selected retention period.
Media-Only enforcement may inspect and remove new messages in configured channels according to the server's rule.
Member Passport, Server Weather, activity awards, Chat Streaks, creator-support statistics, LFG matching, Questboard progress, and similar tools can be incomplete, delayed, or affected by privacy choices and Discord data availability.
Setup Alerts identifies likely configuration and permission problems but does not certify that a server is secure, compliant, or correctly administered.
Automated summaries and recommendations are informational. Decisions that materially affect a member should be reviewed by an authorized person with appropriate context.
Server administrators control their own moderation policies and decisions. We are not responsible for a server's staff conduct, enforcement choices, member disputes, or use of bot-provided information.
10. Third-Party Accounts and Services
The service depends on Discord and may integrate with Twitch, Google/YouTube, Steam, Cloudflare, and other providers. Your use of those platforms remains subject to their own terms, privacy policies, developer rules, and account restrictions.
By linking an account or enabling an integration, you authorize Exolved Bot to use the access granted by that provider for the requested features until you unlink or revoke access.
We do not control third-party APIs, content, prices, policies, outages, rate limits, account suspensions, token revocations, game or stream data, or purchase systems. A third-party change may cause a feature to degrade, pause, or stop without advance notice.
Links and notifications generated from third-party data are provided for convenience. Administrators and users should verify important announcements, prices, discounts, free-game offers, schedules, and account information at the original source.
11. Data and Privacy
Our Privacy Policy explains what information Exolved Bot processes, how it is used, retention periods, privacy controls, third-party sharing, security measures, and deletion options. It forms part of these terms.
Server administrators are responsible for using privacy-sensitive features appropriately and for providing server-specific notices where required. Individual users may pause eligible future activity analytics, unlink integrations, and request deletion as described in the Privacy Policy.
Removing the bot or leaving a server stops applicable future events but may not immediately delete configuration, encrypted moderation evidence, security logs, linked-account records, subscription history, or staff-workflow data.
12. Availability, Reliability, and Service Changes
The service is provided on an "as is" and "as available" basis without a service-level agreement unless we expressly agree otherwise in writing.
We do not guarantee uninterrupted access, error-free operation, delivery at an exact time, permanent data storage, or compatibility with every server configuration.
Features, commands, limits, integrations, interfaces, and supported platforms may be added, changed, suspended, or retired.
Beta, test, preview, or experimental features may be incomplete and may change or disappear.
We may perform maintenance, rotate credentials, pause unsafe automation, or disable a failing integration to protect users and the service.
Administrators should not rely on Exolved Bot as the only copy of information they are required to retain or as the only mechanism for urgent safety, moderation, or business-critical operations.
What this means for you
The bot is built for practical community operations, but Discord and external APIs remain dependencies. Keep a fallback for anything critical.
13. Suspension and Termination
Your Choices
You may stop using the service by removing the bot from servers you control, discontinuing dashboard use, unlinking third-party accounts, revoking OAuth access, canceling Premium through Discord, and requesting deletion where available.
Our Rights
We may suspend, restrict, or terminate access to all or part of the service for a terms violation, abuse, security threat, non-payment or invalid entitlement, platform enforcement, prolonged technical incompatibility, legal requirement, or conduct that creates unreasonable risk for users or the service.
Where practical, we will limit a suspension to the affected account, server, integration, or feature. Immediate action may be taken where delay would create a security, legal, or safety risk.
Effect of Termination
Access to features and dashboards may end, and configured automations may stop. Data may remain for the periods and reasons described in the Privacy Policy. Any refund or continued paid access is governed by Discord's purchase terms, Refund Policy, and applicable law.
Sections that by their nature should continue after termination, including content rights, acceptable use, disclaimers, liability limitations, and retained-data obligations, remain effective.
14. Disclaimers and Limitation of Liability
To the maximum extent permitted by applicable law, Exolved Bot is provided without warranties of merchantability, fitness for a particular purpose, non-infringement, uninterrupted availability, or accuracy. We do not warrant that analytics, matches, alerts, moderation evidence, role assignments, discounts, free-game detections, or third-party information will always be complete, timely, or correct.
To the maximum extent permitted by applicable law, the operator and service maintainers are not liable for indirect, incidental, special, consequential, exemplary, or punitive damages, or for lost data, revenue, opportunity, reputation, or community access arising from use of or inability to use the service.
This includes losses related to administrator decisions, incorrect configuration, unavailable or inaccurate analytics, failed or duplicate automations, deleted Discord resources, downtime, security incidents, third-party platform behavior, or user-submitted content.
Nothing in these terms excludes or limits liability that cannot legally be excluded, including mandatory consumer rights or liability imposed by applicable law.
15. General Terms
Entire agreement: these terms, the Privacy Policy, and any purchase-screen or plan-specific disclosures form the agreement governing the service.
Order of terms: mandatory law controls first. Discord's purchase terms control Discord billing and refunds. A specific written plan disclosure controls over a general feature description where they conflict.
Severability: if part of these terms is unenforceable, the remaining parts continue to apply to the extent permitted by law.
No waiver: a failure to enforce a provision once does not waive the right to enforce it later.
Headings: headings and summaries improve readability but do not replace the full terms.
Before starting formal proceedings, you are encouraged to contact us so we can try to resolve the issue. Nothing in this section prevents either party from using a court, regulator, or consumer-protection process available under applicable law.
16. Changes to These Terms
We may update these terms to reflect new features, plan changes, security needs, platform rules, operational changes, or legal requirements. The date at the top identifies the latest revision.
For material changes, we will provide reasonable notice through the website, dashboard, support server, Discord, or another appropriate service channel. Material changes to an active paid offering will include any notice and cancellation opportunity required by Discord policy or applicable law.
Changes apply from their stated effective date. Continuing to use the service after that date means accepting the revised terms. If you do not agree, you should stop using the service and cancel any active subscription before its next renewal.
17. Contact
For terms questions, support requests, billing assistance, reports of misuse, or service concerns, contact the Exolved Bot administrators through the official Exolved Bot Support Discord server.
Billing and refunds
Discord controls payment methods, cancellation processing, and refund eligibility. Contact Discord Billing for payment disputes, and contact us for questions about the bot features delivered by the subscription.
